This notice explains how Ultrasoft Systems ("we") handles personal data that you share with us through this website. We handle personal data in line with Ghana's Data Protection Act, 2012 (Act 843).
What we collect
When you use our contact form, email us, call us or message us on WhatsApp, we receive the details you choose to give us. This usually includes your name, organisation, email address, phone number and a description of what you need.
This website doesn't use advertising or tracking cookies. Our web server keeps standard technical logs, such as IP addresses and the pages requested, for security and troubleshooting. These logs are deleted automatically.
How we use it
We use your details only to reply to your enquiry, arrange a demo, and prepare and follow up on a quotation. We never sell your data or share it with anyone for marketing.
Enquiries sent through the contact form are stored in our own ERPNext system, on our secure server, so we can follow up with you.
How long we keep it
If you don't become a client, we delete your enquiry details within 24 months of our last contact, or sooner if you ask. If you become a client, your data is handled under our written client agreement and Data Processing Agreement.
Your rights
You can ask to see, correct or delete the personal data we hold about you at any time. Email info@ultrasoft-systems.com and we'll respond promptly.
Client data in ERPNext
For clients, the data held in your ERPNext system is covered separately by your agreement with us. Details are in the security and compliance section.
